MEET ENTRY PROCEDURE

STEP 1
The Entry Chair has setup a new online meet entry system to streamline the meet entry process. It is easy to use with all the information you need to enter your swimmer in a meet available to you on one page and it is available 24/7. This is the method to enter meets. A user name and a password is required to access this page and your group coach will be able to provide that for you.
You will have access to the following information at this site.

STEP 2 (This Method will only be used if the ONLINE ENTRY PORTAL is down)
As a back-up to the online entry system, the Entry Chair will post on the bulletin board (Boys & Girls Club ONLY) entry sheets listing every swimmer on the team, one week prior to the entry deadline. Listed alongside each name will be all of the available events for each swimmer. This report is also available online. The entry sheets will also display the swimmer's current best times in each event.  The deadline to enter the meet will be clearly marked on the entry sheets.
Note: If you are new on the team, it is possible your name is not in the team database yet, therefore not showing up on the entry sheets.  If this is the case, simply hand-write your name and events at the bottom of the forms and your entries will be submitted.

Parents and swimmers circle the events they wish to swim before the posted deadline.  Do not sign up for more than the maximum allowable events per day.

STEP 3
The Entry Chair will collect the entries (both online and from the B&G bulletin board) on or shortly after the deadline and hand-enter each swimmer's events into the team software.

STEP 4
The Entry Chair will within three (3) days of the entry deadline post an "Entry Report" on the meet entry website.  If you notice an error in your entries, you must contact the Entry Chair immediately. You will have two days to submit any errors.

i.e. Meet entry deadline 09/19/06, Entry report on the web 09/22/06, Review deadline 09/24/06, Entries submitted to host club 09/25/06.

STEP 5
The day after the review deadline, the Entry Chair will mail the team entries to the host club, many times in the form of an electronic file (via e-mail).  Once the entries are submitted to the host club, it may not be possible to change your entries.

STEP 6
If the host club is on the ball, they will post a "Psych Sheet" of the meet a few days prior to the meet.  A psych sheet lists all of the swimmers from all of the teams entered in the meet.  Seeing your entries on the "official" report by the host club will calm your nerves during those times you ask yourself, "Did I remember to sign my son or daughter up for that meet?"

STEP 7
Make any hotel reservations (for away meets) via the instructions on the meet information page on our website, and make note of the warm-up times at the meet.  Swimmers should arrive at least 15 minutes prior to warm-ups beginning or you risk losing valuable warm-up time before the meet begins.  Don't forget your team suit and team cap!

BOTTOM LINE
We have a great system in place for you to enter meets, verify your entries, and prepare for an upcoming meet.  Please be patient, however, as we are continuously updating our procedures for entering meets.   Please be aware that if you don't check your e-mail regularly, visit our website regularly, or check the bulletin board regularly, you may miss important information.  PLEASE - stay in the loop!
